General Description:
This is a professional, faculty position responsible for coordinating the processing and digitization of university archival materials for inclusion in the digital repository. Responsible for maintaining and updating the Records Retention Schedule in accordance with established standards. Responsible for keeping university departments aware of changes in retention periods for the records of the university. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. This is a security-sensitive position. Reports to the director of the East Texas Research Center.
Essential Job Functions:
1. Manages the processing and digitization of archival collections in all formats (text, image, audio and video) to facilitate access.
2. Implements a phased approach to building the digital repository, incorporating both legacy and born digital objects.
3. Oversees the University Records Management Program including providing records management workshops to academic and administrative departments and student organizations.
4. Performs inventories of active and inactive record storage areas and coordinates scheduling of records disposition.
5. Recommends active and inactive records storage periods, in coordination with the director of ETRC.
6. Maintains and updates the Records Retention Schedule in accordance with standards established by the director of the Records Management Division of the Texas State Library.
7. Keeps university departments aware of changes in retention periods for the records of the university.
8. Assesses methodologies and standards for appropriate application and integration in the digital environment.
9. Stays abreast of current and emerging standards and trends related to the repository development and associated initiatives such as scholarly communication.
10. Performs reference service and research assistance for East Texas Research Center.
11. Maintains statistics and prepares departmental reports.
12. May hire, train and supervise student assistants.
Non-Essential Job Functions:
1. Participates in recruitment and retention activities as appropriate.
2. Serves as needed on library and university committees.
3. May be required to work a flexible schedule including weekend or evening duty.
4. Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities:
1. Knowledge of, or the ability to learn, university policies and procedures.
2. Knowledge of professional standards and regulations.
3. Knowledge of archival standards and best practices including processing archival collections and creating finding aids.
4. Knowledge of digital collection management systems such as CONTENTdm.
5. Knowledge of preservation and records management procedures.
6. Skill in using computer applications including spreadsheets, databases and word processing software.
7. Ability to learn office and university-specific software.
8. Ability to set priorities and complete assignments on time.
9. Ability to communicate effectively in both oral and written form.
10. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
11. Ability to maintain effective interpersonal relationships.
Education:
Master's degree in library science from an American Library Association-accredited institution or a master's degree in public history with an emphasis in archival studies is required.
Experience and Training:
Two years of related experience is preferred. Familiarity with historical research methods and database searching preferred.
Librarian rank is determined by level of experience, publications, membership affiliations, etc. Minimum requirements listed are those of the Librarian I level.
Work Hours: 8 a.m. to 5 p.m. Monday through Friday
Minimum Pay Rate: Commensurate with experience.
