PROGRAM DIRECTOR OF ADMINISTRATIVE OFFICE MANAGEMENT

ECA/Virginia College, a leading provider of career education since 1983, seeks a qualified candidate to join its academic team in the role of Program Director for the AOM program in Montgomery, AL. In the Administrative Office Management program students are introduced to an executive business environment that utilizes visual Microsoft techniques, fast-paced business applications and office management skills that are essential for success in a business environment.

In this role, the Program Director serves as the academic leader and manages the functions of the program. Responsibilities generally include scheduling of courses, fiscal and budgetary management, faculty development and evaluation, facilities and resource management, development and implementation of operational procedures, student support and retention, and special projects. Serves as supervisor to departmental instructors and sets tone for overall quality, community involvement, and performance results of the program.

Reports to: Academic Dean

Key Result Accountabilities:

1. Scheduling:

- Schedule all continuing students by the end of week 9 of each quarter.
- Prepare and submit to the Academic Dean a quarterly program master schedule that includes instructors by week 4 of each quarter and updates with faculty assignments by week 8.
- Respond to 100% of Admissions re-entry and new start requesting scheduling within 36 hours or as directed locally.

2. Faculty Development

- Assist the Academic Dean to coach and develop new instructors by observing them within the first four weeks of class and again before the end of the first quarter term. Continuing instructors are to be observed every 6 months. All observations are to be not less than 50 minutes in duration and must be followed within 48 hours by a post-observation conference with the instructor.
- With each program instructor, jointly create and implement an annual faculty development plan designed to build skills and/or knowledge that contributes to improved instructional performance and professional knowledge/expertise.

3. Student Support

- Schedule, post, and conduct appropriate office hours to meet the needs of all students, day and evening, as measured in the Noel Levitz Survey and local points of emphasis.
- Administers SAP in accordance with the college catalog.
- Conference in person with every program student at least once per quarter to review academic progress, attendance, student satisfaction with college and instructors, etc. Record meeting findings/results in CampusVue Contact Manager.
- Serve effectively as the second-level resource for student grievances following the instructor level.

4. Program Management

- Take appropriate and timely action to respond to administrative department reports and paperwork as directed by supervisor.
- Collaborate with Career Services and external community resources to develop and manage internship / externship programs.
- Collaborate with Career Services as a subject area expert, as needed.
- Using input from students, advisory boards, faculty, graduates, employers, and outcomes assessments, participate in curriculum development and review workshops and provide recommendations to the corporate Director of Curriculum Development.
- As appropriate, complete timely orders for supplies, equipment and textbooks and ensure all equipment is well maintained and in good operating condition at all times.
- Ensure all classrooms and labs are safe, clean, orderly and well maintained at all times.
- Manage instructional personnel for appropriate assignments according to their qualifications, teaching loads, etc.
- Follow faculty attendance guidelines regarding absences and substitute instruction.
- Schedule and conduct regular program meetings to discuss curriculum, etc. and maintain records on instructor attendance, meeting agendas, and meeting minutes.

5. Retention

- Call absent students who have missed two consecutive days of any program course.
- Responsible for achieving monthly program retention goal.
- Works with program faculty to develop and implement specific retention project plans.
- Monitors and reports retention results and makes appropriate changes to address deficiencies.
- Identify eligible student re-entries and work to bring them back into the program. Identify/flag withdrawn students who are not eligible and appropriately log "not eligible to re-enter" into CampusVue.
- Walk the halls at the start of each day to ensure all program instructors are in their assigned classroom/lab and that class instruction begins on time.

6. Managing Cost

- Participate in the development of the annual budget as directed including projected program enrollment, needed equipment and supplies costs, textbook costs, and software and instruction costs.
- Meet the cost objectives and associated academic cost dashboard percentages as defined in the budgeting process.

7. Admissions

- Provide product knowledge training to admissions department.
- Deliver program expectations at new start orientation and re-sell decision to start program as measured in the student drop report during the first week of class.

8. Conduct Semi-Annual Compliance Audit of Program(s)

- Take proactive action to resolve areas with questions or concerns. Maintain a record of achievement, non-compliance, and actions taken.
- Using the Academic Audit Check Sheet used by the corporate office compliance team take proactive action to resolve areas with questions and/or citations.

MINIMUM REQUIREMENTS: Qualified candidates will possess a degree in a technology related field with a minimum of three years work experience in a related profession with demonstrated experience in the classroom and or in a training environment. The ideal candidate will be Microsoft Office Certified and have experience teaching computer related courses. In addition to excellent communication skills, supervisory and organizational leadership are essential for success in this role.
