THIS IS A SPA POSITION. THIS POSITION IS BEING RECRUITED AT THE JOURNEY LEVEL.
WORK SCHEDULE: MONDAY - FRIDAY; SOME WEEKENDS.
WORK HOURS: 8:00 AM - 5:00 PM; SOME EVENINGS.
The Administrative Support Specialist will operate in the capacity of administrative and project support for the Assistant Dean and Directors of the unit known as Support and Engagement Services (SES) in the division of University College and Lifelong Learning (UCaLL). From a broad perspective this position will perform the basic duties of office manager and project/event planner for all areas within SES.
More specifically the incumbent will provide administrative assistance to the Assistant Dean and Directors that include but is not limited to managing the supervisor's calendar, editing and/or construction of correspondence, as well as aid in the development of materials for marketing of special events, programs and initiatives, randomly and seasonally. The Administrative Support Specialist will serve as office manager and ensure the availability and accountability of office supplies, assist in the process of securing travel arrangements and in the processing of associated paperwork, route unit timesheets, manage the conference room schedule and author standard reports as needed, etc.
The incumbent will facilitate the proper completion of specific tasks relating to the purchasing process in cooperation with the UCaLL business manager, including securing documented quotes from vendors, the review and processing of purchase justifications and requisitions, completing check requests and additional tasks as directed.

INFORMATION/ RECORDS ADMINISTRATION:
The incumbent will track data specific to Unit's projects as needed and directed by the unit leadership. The incumbent will be able to effectively and accurately maintain the data in the appropriate application or storage method; analyze and communicate the resulting information to the leadership and other appropriate personnel in order to assist in decision-making which will ensure task/project completion and ultimately excellent customer service.
The incumbent will demonstrate and in-depth knowledge of University, UCaLL, and SES policies and procedures, purpose, and functionality and as a result of that knowledge will ensure the actions taken and any documents, forms, etc. related to the unit are completed effectively.
The incumbent will understand and fully apply a variety of features in the relevant software applications including, but not limited to, Microsoft Office, eProcurement, SurveyMonkey, and Banner.
The incumbent will be able to present information about programs, policies, and processes clearly in written form to all constituents. The incumbent will proofread documents for grammar, spelling, punctuation, and basic formatting, and will review material constructively as needed.
The incumbent will be able to clearly and accurately communicate information about programs, policies, and processes orally to all constituents.
The incumbent will be able to critically think to resolve issues that affect the unit in a timely manner. The incumbent will be able to resolve recurring challenges such as scheduling, staff management, and or ad hoc tasks; as well as provide possible recommendations for solutions to unique problems that may arise.
Required Education/Experience/Skills (Minimum Qualifications): REQUIREMENTS: MINIMUM EDUCATION AND EXPERIENCE
HIGH SCHOOL DIPLOMA OR EQUIVALENCY AND ONE YEAR OF RELATED OFFICE EXPERIENCE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE.
