This position is no longer an active posting on HigherEdJobsJob Description: The selected candidate will serve as assistant to the Chair of the Department of Physics and serve as the office manager for the department. Must become knowledgeable of department, college, university, and state policies and procedures; demonstrate skill in organizing and supervising the flow of work; exercise judgment and establish priorities; prepare and maintain budget expenditures and reporting; and perform at a high level of productivity. Duties include supervising office staff and students; grant management (including budgeting and effort reporting); preparing and obtaining hiring paperwork for EPA and SPA positions; maintaining personnel files; purchasing equipment and supplies; assisting unit administrator in management of department budget; overseeing foundation and other special fund account budgets (including research awards, scholarships, and program accounts); serving as the primary assistant for the department chair preparing, reviewing and/or issuing official correspondences; serving as liaison for the department to other units on campus; maintaining records and files of the department; operating office machines; and assisting faculty and students.
Candidates must have excellent oral and written communication skills, telephone skills, and ability to interact effectively both by phone and in person with faculty, staff, students, and the general public. Must have knowledge, experience, and proficiency in Windows and MS Office (Word, Excel, PowerPoint, Publisher, etc.). Experience and proficiency in ECU systems such as Banner INB and SSB, People Admin, ECU BIC reports, Effort Reporting System and the ability to adapt to new systems. Experience with ECU's EPA/SPA hiring process and grant management is desirable.
Graduation from high school required. The preferred candidate will have at least three years of office assistant/secretarial experience; or completion of a two-year secretarial science or business administrative program with one year of experience as described above; or graduation from a four-year college or university.
Minimum Qualifications: High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Special Instructions to Applicants: This position is subject to the Career Banding Salary Administration Plan. If candidates are not identified at the advanced level, management may consider candidates at a lower competency level. Pay will be commensurate with applicant's competencies as well as budget, equity, and market considerations.
Salary Grade Equivalent: 61 (for reduction-in-force priority purposes only)
