Position: Reservations and Event Services Operations Manager

Classification: Administrative Staff (2080 hours per year)


The Reservations and Event Services Operations Manager reports to the Assistant Director of Reservations and Event Services and provides support for campus operations, scheduled university and non-university events, audio-visual equipment, inventory management, and scheduling and supervision of student staff.


Event Management
  • Oversee the preparation of facilities with proper equipment for events as scheduled in accordance with requests scheduled by Reservations and Event Services staff
  • Ensure the placement, operation, and inventory of audio-visual and related equipment in accordance with client requests
  • Coordinate logistics with a several university departments
  • Perform maintenance on audio-visual equipment and ensure repairs are completed as required
  • Communicate on a daily basis with Reservations and Event Services and Campus Services staff to determine scheduled setup/teardown and resource requirements
  • Assist ITS in determining audio-visual support needs for campus events
  • Provide significant support and leadership for major university events such as Homecoming, Convocation, and Commencement
  • In collaboration with Campus Services staff, coordinate Campus Center facility usage including room setup, technology implementation, camp/conference and dining services support, and special programming needs
  • Supervise thorough and efficient setup and teardown for all events
  • Serve as primary supervisor and lead with student workers and contracted providers as determined by the Assistant Director of Reservations and Event Services
  • Provide and supervise audio-visual support and recording of events as needed
  • Manage the Campus Center student building manager staff
  • Perform required administrative tasks relating to student staff including training, scheduling, and financial aid tracking
  • Use scheduling software to enter events and ensure client requests are monitored and completed
  • Identify maintenance, custodial, and equipment issues that require attention and submit work orders as needed
  • Monitor shift reports submitted by student workers and make continual process improvements related to management of campus activities
  • Prioritize workflow based on calendar of events
  • Assist in the development of marketing and promotional materials for internal and external use.
  • Serve as a back-up to other staff in their absence
  • Identify and participate in ongoing training as required
  • Demonstrate professionalism at all times when interacting with clients, faculty/staff, and students
  • Know, understand, and enforce all applicable policies and procedures related to the university and scheduling
  • Work enenings, weekends, and required overtime as needed
  • Support and commit to the goals of the Reservation and Event Services department and Carroll University.
  • Perform other duties as assigned
Education and/or Experience:
  • Bachelor's degree required
  • Operations and/or event management experience is required
  • Event setup/teardown experience is preferred
  • Higher education experience preferred
Technology Skills:
  • Technical proficiency with lighting, audio-visual, and related equipment preferred
  • Spreadsheet, database, and other computer application skills
  • Experience with Visio, CAD, and/or other related software

  • Maintain a valid driver's license and be insurable under the university insurance program
  • Ability to pass the training course required to operate university vehicles
