Office Assistants work closely with a variety of staff and in many aspects of the Summer Program, providing clerical assistance in order to keep the Summer Program running smoothly and efficiently. Office Assistants take on tasks as directed by their assigned supervisor, which may include CTD permanent administrative staff, Academic Coordinators (ACs), Academic Office Managers (AOMs), or the Residential Coordinators. This is an active and visible role requiring high energy and flexibility.

General Responsibilities:

  • Carefully review all program, site and staff materials provided by the summer program. Return all completed paperwork as requested;
  • Attend staff training;
  • Uphold and promote the CTD Honor Code;
  • Follow all CTD rules and regulations concerning staff conduct, appropriate dress, program procedures, and other responsibilities as set forth in the staff handbook and by administrative staff;
  • Assume program related responsibilities as requested by CTD administrative staff.
CTD Office Assistants are required to:
  • Be knowledgeable of administrative policies and NU procedures that must be implemented in the Summer Program Office;
  • Learn to navigate the Northwestern University Evanston campus and/or various buildings used by the Summer Program;
  • Assist with moving, organizing, and set up of Summer Program offices;
  • Assist in book, supply, and t-shirt receipt, inventory, organization, delivery and retrieving;
  • Assist in the supervision of students;
  • Learn to use and operate copiers, fax machines, multi-line phones, and various software packages;
  • Enter data, file, and complete general office tasks as assigned;
  • Copy, collate, and prepare various materials requested by Instructors and Coordinators;
  • Under the direction of the AC's, collect program attendance from all classes at the beginning of the day and deliver to ACs;
  • Effectively communicate with Coordinators, instructors, and other Office Assistants in order to efficiently and effectively complete tasks;
  • Organize and prepare various pre- and post-program projects and mailings such as Coordinator binders, student folders, and various evaluations;
  • Answer Summer Program phone and take and deliver phone messages;
  • Collect and deliver mail daily;
  • Assist in Opening and Closing Days in any capacity needed;
  • Assist instructors in classroom or on field trips, and provide extra help in classroom set up or utilization as needed;
  • Assist CTD administrators in the creation and posting of program updates to Twitter and/or Facebook as requested.
Mandatory Job Qualifications

Previous office or clerical experience highly desired; previous experience working in a fast-paced atmosphere a plus. Applicants should display strong organizational and problem solving skills and should be self-starters, motivated, flexible and adaptable, have a professional demeanor, demonstrate a mature and positive attitude, and serve as role models for students and other staff members. Applicants should also exhibit a strong work ethic and commitment to teamwork. Office Assistants must be able to lift and carry 40+ pounds. High school upperclassmen, college or graduate students may apply.
